Meeting Action Items ("we", "us", or "our") is a privacy-first tool that helps you extract summaries, decisions, action items, and follow-up email drafts from meeting transcript text you paste. We do not join your calls, access your calendar, or record audio.

1. Data We Collect

Depending on how you use the product, we may collect:

  • Account data — email address, authentication identifiers (including Google OAuth if you choose it), and basic profile metadata needed to sign you in.
  • Content you submit — meeting transcript text and the AI outputs generated from it (summary, decisions, action items, email draft).
  • Usage & billing data — plan type, monthly quota usage, and payment status from our payment provider (we do not store full card numbers).
  • Technical data — IP address (for abuse prevention such as signup rate limits), device/browser basics, and product analytics events.

We do not request microphone, calendar, or meeting-bot permissions. You decide which text to paste.

2. How We Store and Retain Data

  • Free plan: submitted transcripts and generated outputs are deleted within 72 hours.
  • Paid plans (Pro / Team): content may be retained for product use and then archived or deleted within 30 days, unless a longer period is required for billing disputes, security investigations, or legal obligations.
  • Account, subscription, and usage counters may be kept for the life of your account and for a reasonable period afterward for accounting and fraud prevention.

Data is stored with reputable cloud providers (for example Supabase / Vercel hosting infrastructure). Access is limited to systems and personnel needed to operate the service.

3. GDPR and International Transfers

If you are in the European Economic Area (EEA), UK, or a similar jurisdiction, we process personal data under applicable lawful bases such as contract performance (providing the service), legitimate interests (security, abuse prevention, product improvement), and consent where required (for example certain cookies or marketing emails).

Because we operate a global SaaS product, your data may be processed in countries outside your own, including the United States. Where required, we use appropriate safeguards for cross-border transfers (such as Standard Contractual Clauses or equivalent mechanisms offered by our processors).

You may have rights to access, rectify, erase, restrict, or port your personal data, and to object to certain processing. You may also lodge a complaint with your local supervisory authority.

4. Your Right to Delete Data

You can request deletion of your account and associated personal data at any time by:

5. Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Essential cookies — keep you signed in and protect account sessions.
  • Preference cookies — remember basic UI settings.
  • Analytics cookies — understand product usage (for example feature adoption) so we can improve reliability and UX.

You can control cookies through your browser settings. Disabling essential cookies may prevent sign-in or core features from working. Where required by law, we will request consent before setting non-essential cookies.
